Project Overview

Airtek Ontario operates across five locations while also serving customers through an online storefront. As order volume grew, the team needed a system capable of coordinating branches, managing backorders properly, and keeping online inventory accurate in real time.

Their goal was to create a single operational source of truth — connecting warehouse activity, counter sales, and eCommerce into one platform.

Challenge

Backorders were tracked manually using notes, making it difficult to reliably connect incoming inventory to the correct customer orders. Staff had no structured way to allocate arriving stock to waiting customers, leading to confusion and delays.

Each branch also operated independently. Management lacked a single dashboard to monitor inventory movement and order activity across all five locations.

Pricing rules were applied manually, creating inconsistencies across customers and branches. Meanwhile, their online store could not directly communicate with operational data, requiring manual updates and risking inaccurate stock availability.

Solution

We implemented a centralized operational platform designed for multi-location distribution:

Linked Backorder Management:
Incoming inventory automatically attaches to waiting customer orders, ensuring correct fulfillment without manual tracking.

Unified Multi-Location Dashboard:
Management can monitor all five branches from one screen — inventory levels, order activity, and operational performance.

API-Powered Storefront Integration:
Direct API endpoints connect their online store to VitalGap, providing real-time inventory availability and order synchronization.

Automated Pricing Rules:
Customer-specific and volume-based pricing applies automatically across all locations and channels.

Results

Staff no longer rely on notes to track customer commitments. Orders, inventory, and online sales now operate from the same data source. Pricing remains consistent, and customers see accurate stock levels online.

Management gained full operational visibility across locations without contacting individual branches.
